Summit Music Parents Association General Membership Meeting Minutes
May22,20tl
General Meeting – 7:00 p.m.
President’s Report – Stephanie Gallegos
Stephanie reported that the SMPA had a good year in that it was able to enhance the music programs for the high school, middle school and elementary schools through its financial contributions. She noted that the scholarships given to many students for the High School Disney
World trip were particularly well received.
Treasurer’s Report – Ewa Misiewicz
Ewa presented the Statement of Financial Position as of May 22,2023 (attached). The assets on hand are $61,176.16 plus accounts receivable of $6,764 for a total $67,895.16. This total already reflects most expenditures for the fiscal year ending June 30, 2023 (including reflecting the recently distributed scholarships to seniors in the music program).
Ewa presented the lncome and Expense statement for the period July 1,2022to May 22,2023 (attached) and compared this to the budgeted income and expenses. Total income for the period July 1, 2022 through May 22,2023 was $52,102.67 and total expenses were $54,867.89, resulting in a reduction of reserves (or deficit) of $2,765.22. This compares to an expected (budgeted) deficit of $26,123 for the ’22-23 year. The smaller than budgeted deficit is mainly due to larger than expected income from direct contributions, larger net profits from the concession stand and less than
budgeted payments for the Choir and Orchestra programs.
Ewa pointed out that $22,449 in scholarships for the Disney trip were awarded.
President’s Report, continued – Stephanie Gallegos
Stephanie emphasized that the SMPA Executive Board has a number of open positions, and are in urgent need of volunteers to fill them as follows: President, President Elect, Scholarship Co-Chair, SHS Band Representative and Volunteer Coordinator, as well as positions that are currently held by parents whose youngest children will be graduating in 2024 and need volunteers to shadow their roles and to take over in the 2024-2025 year
(Communications, Scholarship Co-Chair). Please see Stephanie if interested, or contact her at smpa.president@gmail.com
The meeting dates for next year were tentatively set (pending consultation with Karen Forgione) as follows:
o General Meetings on Mondays, September 18, 2023, February 26, 2024 and
June 3, 2024, at 7:00 p.m.
o Executive Board Meetings on Mondays, August 28, 2023, October 9, 2023,
January 22, 2024 and May 13, 2024 at 7:00 p.m.
Stephanie reported that she will be meeting with Mr. Bocchino and Mrs. Forgione to get further details about the proposed Carnegie Hall trip for 2024, which she noted is extremely expensive. She also noted that the SMPA will not be paying for buses whenever it is possible for the district to pay for busing (for move-up and move-down days, etc.) and that for bus expenses for other field trips, the cost of the bus should preferably be worked
into the ticket price. Once she has met with Mr, Bocchino and Mrs. Forgione, she plans to hold a Zoom meeting with the Board to finalize the Budget for 2023-2024.
Jennifer Wicelinski proposed, as another raffle item for next year, having caroling groups perform in December.
Stephanie noted that she will work with the (yet-to-be-named) incoming President to send out the SMPA mailer in the back- to-school packets this summer
